A Mail Merge Toolkit alternative

Mail Merge Toolkit, from MAPILab, has solved this problem on Windows for a long time and has a lot of satisfied users. We are not going to pretend otherwise. The difference is architectural, and it decides the answer more often than any feature list.

The structural difference

Mail Merge Toolkit is a desktop add-in that extends Word's mail merge, adding the per-recipient attachments and per-message sending that Word lacks. You keep composing in Word; the toolkit takes over at the point Word runs out.

Tellmerge is a web-based Outlook add-in. It does not extend Word — it replaces that half of the workflow, inside Outlook. You bring a spreadsheet, write the message in the task pane with merge fields, point at a filename column and a folder, preview, and send.

That single difference drives most of the rest.

Where each one runs

Desktop Office add-ins are built on COM, which is Windows technology. Add-ins built the modern way are web applications that Outlook loads in a pane, so the same add-in runs in Outlook on Windows, on Mac, and in the browser.

If your whole team is on Windows desktop Outlook, this costs you nothing either way. If anyone is on a Mac, or your organisation has moved to Outlook on the web, it is usually the entire decision.

Where each one fits better

Stay with a Word-based tool if

You want Word's document formatting in the message body, your templates already live in Word, everyone is on Windows, and the Word workflow is what your team knows.

An Outlook add-in fits if

Anyone is on Mac or the web, you would rather not open three applications for one job, and the formatted document is the PDF attachment rather than the email body.

What to check before you switch either way

  • Current system requirements. Vendors change what they support. Read the vendor's own page rather than a comparison — including this one.
  • What happens to a row with a missing file. Held back and named, or sent with nothing attached? Tellmerge holds it back; an invoice email with no invoice is worse than no email.
  • Whether you see the messages before they send. A mis-mapped column is wrong for everyone at once.
  • Who sends the mail. Tellmerge asks Microsoft to send from your own mailbox, so a copy lands in Sent Items and replies come back to you. Why that matters for delivery.
  • Licence shape. Tellmerge is one-time, per mailbox, with a 14-day trial first. Compare against whatever the alternative charges today.

One hard requirement, before anything else.

Tellmerge needs a Microsoft mailbox — Microsoft 365 work or school, or a free Outlook.com address. It sends through Microsoft's own mail API, so a Gmail or Google Workspace mailbox will not work even if you read that mail inside Outlook. If that is you, we are not your alternative, and it is cheaper for both of us to say so now.
